These rules tell you how to operate as a GCC Virtuals pilot: membership, network flying, aircraft and bookings, simulation integrity, activity, SmartCARS reporting, and enforcement. They complement our Terms of Use (your legal agreement with GCC Virtuals) and Privacy / GDPR notice (how we handle personal data). Read all three before you join or log your first flight.
Section 1
Membership and registration
These operating rules define how GCC Virtuals pilots are expected to fly, report, and participate. They work together with our Terms of Use (legal agreement) and Privacy / GDPR notice (data handling). If anything conflicts, the published Terms of Use prevail for legal matters; these rules govern day-to-day operations.
1.1 Who may join
Pilots registered with IVAO or VATSIM may apply to GCC Virtuals (GCCVAS). You must hold a valid network account and comply with that network's rules while flying for us.
1.2 Registration
Complete the official application through the crew center. Provide accurate personal and virtual information (name, email, hub, location, and network IDs where requested).
1.3 Valid email
You must register a working email address. Invalid or unreachable email may result in cancellation of your application or suspension until corrected.
1.4 Application review
After you submit an application, staff review it for completeness and eligibility. If accepted, you will receive confirmation by email. Until accepted, you may not log flights under GCC Virtuals.
These rules apply across Kuwait Airways Virtual (KAC), Qatar Airways Virtual (QTR), Emirates Virtual (UAE), Gulf Air Virtual (GFA), Jazeera Airways Virtual (JZR), and Etihad Airways Virtual (ETD-VA) under the GCC Virtuals umbrella.
Section 2
IVAO and VATSIM standards
GCC Virtuals is built for online virtual aviation. Network discipline protects our validators, controllers, and fellow pilots.
Online flights only: Validated operations must be flown in ONLINE mode while connected to IVAO or VATSIM with your registered identity.
Correct identity: Use a callsign and network ID consistent with your GCC profile and the airline you represent.
Controller compliance: Follow ATC instructions and network code of conduct. Serious network violations may trigger GCC review even if the network has already acted.
Offline or solo flights do not count toward rank, activity, or tour progress unless staff explicitly authorize an exception in writing (for example documented ACARS failure with evidence).
Section 3
Aircraft, bookings, and dispatch
3.1 Aircraft selection
Fly only aircraft approved for your virtual airline and route type. Approved types are listed on each carrier's fleet pages and in the crew center dispatch system. Repaints and types not in fleet may be rejected.
3.2 Flight booking
Do not book a flight unless you intend to complete it within 24 hours. Repeated no-shows or idle bookings waste roster slots and may lead to booking restrictions.
3.3 Operating procedures
Pilots are expected to know and follow standard operating procedures for their aircraft, including speed limits, altitude constraints, and fuel planning. Unrealistic profiles or repeated procedural errors may result in PIREP rejection.
3.4 Routes and airline policy
Scheduled, charter, and tour legs must match the assigned origin, destination, and equipment unless dispatch or event rules allow a diversion. File and fly the booking you accept.
Section 4
Simulation integrity
Our validation systems monitor telemetry to keep rankings fair. The following are non-negotiable for standard operations:
4.1 Simulation rate
Flights must be flown at normal simulation rate (1×). Use of time acceleration, pause abuse, or slew mode during an active leg may result in automatic PIREP rejection. This aligns with our Terms of Use on flight validation.
4.2 Fuel management
Plan sufficient fuel for the route, alternates, and contingencies. Mid-flight air refueling is prohibited. Any unexplained fuel increase during a leg may be treated as an integrity violation and rejected.
4.3 Supported simulators
GCC Virtuals supports Microsoft Flight Simulator (2020 and 2024), FSX, Prepar3D, and X-Plane through approved tracking tools. Use legally licensed simulator software and add-ons, as required in our Terms of Use.
If you experience a sim crash, CTD, or tracking disconnect, note it in the PIREP comments and contact operations if validation is delayed. Do not alter telemetry or re-submit duplicate legs without staff guidance.
Section 5
Activity, tours, and events
5.1 Monthly activity
Pilots must log at least 3 accepted flights per calendar month to remain in good standing. Extended inactivity may move an account to inactive status until you resume flying or contact staff.
5.2 Tours
Each tour leg defines permitted aircraft, airports, and completion rules. Read the tour or leg description before departure. Use only equipment listed as eligible for that leg.
5.3 Tour rejections
If 3 tour legs are rejected for non-compliance (wrong aircraft, offline flight, integrity issues, etc.), you may be removed from that tour. Staff decisions on tour eligibility are final for the active event cycle.
5.4 Events and group flights
Special events may impose additional rules (slot times, liveries, voice policy). Event briefs override general guidance where they explicitly say so.
Section 6
SmartCARS and PIREP reporting
6.1 SmartCARS / ACARS tracking
GCC Virtuals uses SmartCARS (our ACARS flight-tracking client) for FSX, Prepar3D, X-Plane, and Microsoft Flight Simulator. Tracking is expected for validated PIREPs. Download and configure it from the crew center for your airline.
6.2 Submitting PIREPs
Complete flights through the normal dispatch and PIREP workflow. Use the PIREP comments field to explain diversions, technical issues, go-arounds, unusual landings, or sim interruptions. Clear comments reduce validation delays.
6.3 Manual reports
Manual PIREPs are exceptional only—for example verified ACARS failure or loss of connectivity—with supporting context. They are subject to staff approval and may require additional review time.
False, duplicated, or manipulated reports violate both these rules and our Terms of Use on cheating and system abuse.
Section 7
Conduct and account integrity
Pilots represent GCC Virtuals on the roster, on network frequencies, and in community channels. Professional behavior is required.
One account: Maintain a single active GCC account unless staff authorize otherwise. Do not share passwords or fly under another member's identity.
Accurate data: Registration and profile information must remain truthful. Incorrect identity data may lead to removal (see rule 8.1).
Respect: Harassment, discrimination, threats, or abuse toward members, staff, or controllers is prohibited and handled under our Terms of Use.
No cheating: Telemetry manipulation, hour farming, or repeated intentional rule-breaking may result in suspension without warning.
Section 8
Privacy, review, and enforcement
Compliance and consequences
8.1 Accurate registration
You must provide correct information during registration and keep your crew center profile current. False or misleading data may result in cancellation or termination.
8.2 Privacy and public data
Operational data (callsign, routes, flight times, landing rates, roster statistics) may be displayed publicly for community features. Personal contact details and credentials remain protected. Full details are in our Privacy / GDPR notice. You may export personal data from your profile, hide your name from public views, or request account deletion via our contact form.
8.3 PIREP quality review
If more than 3 of your last 10 PIREPs are rejected (30% rejection rate), your account may be placed under manual review. Repeated poor-quality submissions can lead to temporary validation holds, rank adjustment, suspension, or termination.
8.4 Termination
GCC Virtuals management may suspend or terminate any member who violates these rules, our Terms of Use, or applicable IVAO/VATSIM obligations tied to GCC operations. Severe or repeated violations may bypass warnings. Participation is a privilege, not a right.
